Connect your CRM to your accounting software
A deal gets marked won in the CRM. Then someone opens the accounting software and types the same customer, address and amounts in again, and maybe a third time in the project tool. Every retype costs time, and every retype is a chance for a typo that shows up later on an invoice.
Sound familiar?
- Someone on your team keeps 2 or 3 apps open just to copy data between them.
- Customer names and addresses do not match between your CRM and your accounting.
- Invoices go out late because the job details live in a different system.
- You export a spreadsheet every week to move data from 1 app to another.
What it looks like after
The CRM and the accounting software share the data they both need. A won deal creates the customer and the job in accounting. A paid invoice shows up back in the CRM, so sales can see it without asking. Your team enters each thing once.
How it works
Map what moves
We list what has to go from 1 app to the other, and when: customer, job, amounts, status. Most of the work is agreeing on this, not writing code.
Decide which app wins
When 2 apps disagree, 1 of them has to be the source of truth for each field. We settle that up front, so nothing overwrites good data.
Test on a small batch
I build the connection and run it on a small batch of real records first, so you can check the results before it runs on everything.
Host it and watch it
I host the connection and keep an eye on it. If a sync fails, you get an alert, not a surprise at month end.
Your apps. Common pairs are HubSpot, Salesforce or Zoho on the CRM side, and QuickBooks Online, Xero or Sage on the accounting side. If an app offers a way for other software to connect (most modern ones do), it can usually be part of the picture.
Questions people ask
- Do we have to switch software?
- No. The point is to keep the apps your team already knows and make them work together.
- What if 1 of our apps is old and has no way to connect?
- Then we look at other routes, like a scheduled import or a small tool in between. If something cannot be connected cleanly, I will tell you on the first call.
- How long does it take?
- It depends on how many apps are involved and how clean the data is. After the first call you get a plain answer on what it would take, before any work starts.
